Wholesale where stock, quotes and customers live in one place

In short

For a wholesaler the foundation is SellM8 Warehouse: stock per warehouse, customer orders, documents and each customer's discount in one database. SellM8 Catalog reads from it, shows your goods online and collects enquiries, and SellM8 Shop opens wholesale prices to the companies you approve. SellM8 Analytics works separately and turns the monthly sales file into reports by customer and sales rep. Start with the warehouse.

An ordinary day in wholesale

  1. 1A customer phones asking for 40 cartons, and only your colleague in the other warehouse knows whether you have them.
  2. 2Each customer's discount lives in the sales rep's head, not in the program.
  3. 3A rep on the road promises goods without seeing that they are already reserved for another order.
  4. 4The quote is written in one file, the order in another, and the invoice is typed out a third time.
  5. 5The price list is a PDF that goes out of date the day you send it.
  6. 6You see that a customer has stopped ordering only in a report that arrives a month later.

Where to start, and what comes next

  1. SellM8 Warehouse

Stock, orders and each customer's terms in one database

Start with the warehouse: the catalogue and the shop take their products from it. SellM8 Warehouse keeps stock per warehouse and transfers between them. A customer's order reserves the goods before it becomes a sale. The program issues quotes, proformas, invoices, stock receipts and credit notes. Discounts and credit limits sit on the customer's record, not in the rep's memory. It runs on a phone too.

  2. SellM8 Catalog

Customers see what you have before they pick up the phone

SellM8 Catalog takes products, prices and stock from the warehouse program on a schedule — from every five minutes to once a day. For each category and product you decide whether price and quantity are shown, so negotiated prices stay in the quote. Customers search by name or code and send an enquiry from the product page. All enquiries land in one inbox.

  3. SellM8 Shop

Approved companies order by themselves, at wholesale prices

When customers keep repeating the same orders, open SellM8 Shop to them. After a company registers with its company number and you approve it, it sees wholesale prices, orders by the carton and gets the discount recorded for it in the warehouse. Prices can also depend on quantity. Orders reach the warehouse automatically. Retail buyers, if you have them, use the same shop.

  4. SellM8 Analytics

Reports by customer and sales rep from the monthly file

SellM8 Analytics is a separate program you can bring in at any time. You upload the monthly sales report as a spreadsheet file and get turnover and quantities by customer, sales rep, city and product. Separate reports show customers with no purchases and the outlets each rep has supplied. The forecast for the next month and quarter states how confident it is.

What you enter once, and what stays separate

Products, prices and stock are kept in SellM8 Warehouse only. SellM8 Catalog reads them on a schedule, while the link with SellM8 Shop runs both ways: products and per-customer discounts come from the warehouse, and orders go back into it. Both work with the same warehouse, so products are never entered twice. SellM8 Analytics is not connected to the others — data comes in as a file whose format we agree during setup.

Common questions

Do we have to bring in all four programs at once?

No. You start with SellM8 Warehouse, because the catalogue and the shop take their products from it. Inside the warehouse program, too, you switch on only the modules you use and add the rest later. The catalogue and the shop follow once you decide what customers should see online. SellM8 Analytics stands alone and does not depend on this order.

Our prices differ for every customer. How are they shown online?

Each customer's discount is recorded in the warehouse program. In SellM8 Catalog you can hide the price for a whole category or a single product and send it with the quote. In SellM8 Shop an approved company sees wholesale prices and its own discount, and prices can also depend on quantity. Which of the two suits you depends on how many of your orders are repeats.

How do sales reps use the program on the road?

SellM8 Warehouse opens in a browser on a phone or tablet. The rep sees stock per warehouse, the customer's discount and credit limit, and any overdue amounts. Tasks, deals and notes on the customer sit in the same database, because the CRM is part of the program. Who may change what is set by the three roles and their permissions.

Does SellM8 Analytics work with data from the warehouse program?

There is no automatic link between the two. SellM8 Analytics takes the monthly sales report as a spreadsheet file, together with the reference lists for products, prices and partners. What the file should look like is agreed with you during setup. The program warns you if a period has already been uploaded and spots customers written in several different ways.
